How does MailSentry stop spam?

Before your email reaches your network, it is relayed to the secure MailSentry data centre where the filtering process takes place. The MailSentry engine blocks known spam and virus sources, processing all other emails through a series of spam and virus engines, as well as content filters.

What spam detection tools are used?

MailSentry utilises the world’s best anti-spam protection from Ironport Systems called Sender Base. In addition to this, a number of spam recognition processes and content filters are applied to provide the most accurate anti-spam detection available.

What if spam does get through MailSentry?

Occasionally spam does get through, especially if the source of the spam is new and MailSentry hasn't yet had time to block it. MailSentry offers plug-ins for Outlook 2003 (6MB file) and Thunderbird that allows you to easily report spam, thereby increasing the accuracy of the system. Likewise on the very rare chance that MailSentry incorrectly flags a legitmate email as spam, these plugins will allow you to report these 'ham' (incorrectly tagged as spam) emails.

If you use an email program not listed above, you can forward missed spam emails as attachments to spam@access.ironport.com and forward ham emails to ham@access.ironport.com.

Will the system delay my emails?

The majority of emails will pass through the system in under 30 seconds, so there is no noticeable delay.  In cases of high load, such as a virus outbreak, emails may be delayed for a few minutes.

Will spam emails be saved anywhere?

If you choose to store spam emails, they will be stored in the quarantine for up to 14 days.  This quarantine is available to you through the MailSentry interface.

What will happen after completion of 14 days evaluation period?

At the end of your trial, one of our staff will contact you to discuss how the trial went.  If you don’t wish to sign up to the service after the end of the trial, your emails will still get to you, but they will no longer be filtered.

Is service monitored and supported by 24x7?

Yes, the service is monitored 24x7 but support is only available during business hours (9am to 6pm).

How long does it take to activate the service?

In most cases, activation is instant, and you will receive an email with further instructions to set up the trial.  However, if there is an error with the automatic signup process, someone from the MailSentry team will contact you within 24 hours.  In both cases, you will then need to change your domain MX records to finish the setup, and there sometimes is a delay for these records to propagate (see below).

How can I change my MX records?

Most hosting companies let you change your domain's DNS settings through a control panel. Others require that you submit the requested changes to their technical support department.  If you are unsure, contact your domain registration company’s support, and they will be able to help you.
After your MX records have been changed, it can take up to 48 hours time for these settings to propagate to all the mail servers across the internet, though usually this happens much quicker.

I'm not receiving email after changing my MX records to point to your servers.

Some website management systems - in particular cPanel - have a option that they only accept emails for a domain if they're the primary MX record. You need to find this option and ensure that it accepts emails for a domain even if it's not the primary MX.

I'm still not receiving email after changing my MX records.

If you are using EXIM as your mail server (typical with cPanel hosting) you may also need to go to the WHIM and under Mail Settings and set it to accept and discard non-existant addresses.

 

How can I be assured of the security of my email while they are being processed by MailSentry?

Every possible step is taken to ensure that our setup, procedures, and practices are completely secure.  Your email and it’s contents are treated as confidential by us and are never looked at unless express permission is given to do so.
